Painting estimate template

A painting estimate should list the rooms or surfaces, square footage, number of coats, paint brand and sheen, prep work like patching and caulking, who moves furniture, exclusions and how many days the price is good for.

What goes into a painting estimate

Painting prices depend more on prep than on paint. A room with smooth walls and a room full of nail holes and peeling trim take very different amounts of time. Write the prep you will do on the estimate, so a cheaper bid that skips it is easy to spot.

The example covers an interior repaint of a living room, hallway and two bedrooms: walls in two coats, ceilings in one, and trim and doors in semi-gloss. It holds pricing for 30 days and asks a small deposit to book the date and buy paint.

Not included in this estimate

  • Moving pianos, safes or other very heavy furniture
  • Wallpaper removal or major drywall repair
  • Color changes after paint has been purchased
  • Lead paint abatement in homes built before 1978

How to price a job as a painter

  1. Write the number of coats and the paint line

Two coats of a premium paint and one coat of a contractor grade are different jobs at different prices. Name the brand line and sheen, so the client knows what they are paying for.

  2. Price prep as its own line

Patching, sanding, caulking and priming are where the hours go. A separate prep line shows the client the value, and if they want to save money, they can see what skipping prep would mean for the finish.

  3. Set a color rule

State how many colors are included per room and what an accent wall or extra color costs. Say that color changes after the paint is bought are the client's cost.

  4. Clarify furniture and protection

Say whether you move furniture, who takes down wall hangings, and that you cover floors and fixtures. One short sentence here avoids an argument about a scratched dresser.

  5. Turn the accepted bid into the invoice

Invoicefy sends the estimate as a proposal the client accepts online, and one click converts it to an invoice. Record the deposit as a partial payment, and add any approved extra colors or rooms as new lines.

Questions people ask

Most use wall square footage, a per-room price or estimated hours, plus materials. Whichever you use, show the scope room by room so the client can compare bids fairly.
