Web Design estimate template

A web design estimate should list the pages and features, design revision rounds, content and copy responsibilities, hosting and domain costs, launch tasks, payment milestones, exclusions such as ongoing maintenance, and how long the price is valid.

What goes into a web design estimate

Web design projects drift because the scope is easy to stretch. A five page site turns into a blog, a booking form and a third round of revisions. The estimate is where you pin down pages, features, revision rounds and who supplies the words and photos.

The example quotes a 6 page small-business site with a contact form, basic on-page SEO and two design revision rounds. It asks a 30% deposit to start, bills the rest at design approval and launch, and holds the price for 30 days.

Not included in this estimate

  • Copywriting and stock photo licenses
  • Hosting, domain and third-party plugin fees
  • Maintenance and updates after launch
  • Revision rounds beyond the two included

How to price a job as a web designer

  1. List pages and features by name

Name every page and every feature, such as a contact form or a photo gallery. Anything not on the list is a change, which gives you a polite, written reason to price new requests.

  2. Limit revision rounds

Say how many rounds of design changes are included and what an extra round costs. Unlimited revisions are the fastest way to turn a profitable project into a loss.

  3. Assign content responsibility

Projects stall waiting on the client's text and photos. State who writes the copy, the date it's due, and what happens to the launch date if it arrives late.

  4. Separate one-time and ongoing costs

Hosting, domains and plugin licenses renew every year. Keep them out of the build price or list them as client-paid, then offer a maintenance plan as its own proposal.

  5. Bill at milestones from the accepted quote

Split the project into a deposit, design approval and launch. With Invoicefy the client accepts the proposal online and one click turns it into an invoice, and a maintenance plan can run as a monthly recurring invoice.

Questions people ask

Most small-business clients prefer a fixed project price with a defined scope. Hourly works for ongoing changes or projects with unclear requirements. If you quote a fixed price, the scope list is what protects you.
