HVAC invoice template

An HVAC invoice should list the diagnostic fee, each part replaced with its model or rating, refrigerant type and pounds added, labor, any after-hours surcharge, maintenance plan charges, warranty terms and the amount due.

What goes on a hvac invoice

HVAC repair bills follow a familiar pattern. The technician charges a diagnostic fee to find the problem, then quotes the repair, often from a flat-rate price book. Refrigerant is billed by the pound, and the type matters because older refrigerants keep getting more expensive as production is phased down.

This example is a summer no-cooling call in Houston, Texas, on an evening. It includes a failed capacitor and contactor, a leak search, three pounds of R-410A and a pair of filters, and it signs the homeowner up for an annual maintenance plan. The prices are illustrative 2026 rates, not a quote.

How to bill as a HVAC technician

  1. Credit the diagnostic fee when they approve the repair

Many shops apply the diagnostic fee toward the repair if the customer says yes. It makes the fee easier to accept on the phone and still pays you when someone only wants the diagnosis. Say which policy you use on the invoice.

  2. List refrigerant by type and pound

Write the refrigerant name and the pounds added, not just 'recharge.' Customers can compare prices, and the record helps the next tech spot a slow leak. Mention that ongoing leaks need repair, not repeated top-offs.

  3. Write part ratings on every line

A capacitor's MFD rating, a contactor's amperage or a motor's horsepower turns a vague bill into a record. It also makes warranty claims with your supplier faster.

  4. Sell maintenance plans, and bill them on schedule

Plans with two tune-ups a year smooth out the slow seasons and keep customers loyal. Bill them yearly, or monthly if you prefer smaller amounts. Invoicefy can repeat that invoice monthly or yearly so plan renewals don't depend on your memory.

  5. Separate parts warranty from labor warranty

Manufacturer warranties often cover the part but not the labor to replace it. State both clearly. That way a customer whose compressor fails in year three understands why there is still a labor charge.

Questions people ask

Older refrigerants like R-410A are being phased down under federal rules, so supply shrinks and prices rise. Newer systems use different refrigerants. Billing by the pound with the type named keeps it transparent.
