How do I pick the right invoice template?
Start with your trade. A plumbing invoice needs lines for labor, parts and a service call, while a cleaning invoice is built around visits and add-ons. The trade templates below come with line items, notes and payment terms that fit how that work is usually billed.
If you collect money up front, start from the deposit invoice. For changes in the middle of a job, use the change order template, and for pricing work before it starts, see the estimate templates.
Which invoice format should I use?
Use the format you already work in, and send the client a PDF whichever one you choose. The free generator skips the file entirely: fill in the form and download a PDF.
| Format | Best for | Watch out for |
|---|---|---|
| Printing and filling in by hand | No math; totals are on you | |
| Word (.docx) | Custom layouts if you already use Word | Totals don't update on their own |
| Excel (.xlsx) | Automatic line totals and tax | Formulas can break if overwritten |
| Google Docs | Free editing in the cloud from any computer | Tables don't calculate |
| Online generator | Fast invoices with the math done | Needs an internet connection |
What does every invoice need?
Whatever template you use, check that it has your business name and contact details, the client's name and address, a unique invoice number, the invoice date and due date, each item with quantity, rate and amount, the subtotal, any discount and tax, the total, and your payment terms.
If you send invoices every week, the free Invoicefy Starter plan saves your clients and reusable items, emails invoices with automatic reminders, and gives each client a link to view and download the PDF.

Yes. The trade templates, the format templates and the online invoice generator are free for any business to use.
Yes. Pick the closest trade, or use the Word, Excel or Google Docs template, and bill by the hour or by project. See How to Invoice as a Freelancer or 1099 Contractor for what to include.
An estimate prices the work before it starts and asks the client to accept. An invoice bills for work that is done or due now and asks for payment. Send the estimate first, then turn it into the invoice.
Clients rarely care which program you used, as long as they get a clear PDF that opens on any device. Send a PDF and keep the editable file for yourself.
