Plumbing invoice template

A plumbing invoice should list the service call fee, labor hours or flat-rate repair prices, each part or fixture installed, permit and disposal fees, the warranty on the work, the total and the payment due date.

What goes on a plumbing invoice

Plumbing calls start as a mystery. You show up to a slow drain or a leak, diagnose it, then quote the fix. That's why most plumbers charge a service call fee and either price the repair flat or bill hours plus parts. After-hours emergencies often carry a higher rate.

This example invoice is from a two-stop visit in Pittsburgh, Pennsylvania: a gas water heater replacement with expansion tank and permit, plus clearing a backed-up main and running a camera through the line. The rates are sample 2026 prices for a licensed shop. Your area and your flat-rate book will differ.

How to bill as a plumber

  1. Decide between flat rate and time and materials

Flat-rate pricing quotes the whole repair before you start, so the customer knows the number and you keep the upside when you're fast. Time and materials bills hours plus parts and suits jobs you can't scope, like hidden leaks. Many shops use flat rate for common repairs and hourly for the rest.

  2. Price emergencies higher and say so

Nights, weekends and holidays cost you more in overtime and lost sleep. Post an after-hours rate or surcharge, quote it on the phone before you roll, and show it on the invoice as its own line.

  3. Explain code-required add-ons

When a new water heater needs an expansion tank, new venting or a pan to pass inspection, the customer may see it as an upsell. Note on the invoice that the code requires it. That one sentence avoids a lot of disputes.

  4. Write down what you found

Camera findings, root intrusion depth or a corroded shutoff are worth a line in the notes. It backs up your recommendation, helps the next visit and shows the customer you didn't just clear the drain and leave.

  5. Collect at the truck

Most residential plumbing is paid the same day. With Invoicefy you can text the invoice link from your phone before you leave, and on the Pro plan the customer can pay by card or PayPal right from that link.

Questions people ask

Most do, as a service call or diagnostic fee that covers the drive and the time to find the problem. Some credit it toward the repair if the customer approves the work. Quote it when the call is booked.
